QR Code Generator for Teams: Shared Workspace and Roles

A QR code generator for teams lets several people create, edit, and track QR codes in one shared account instead of passing a login around. On QRelix that is the Team Plan: one workspace where your codes, categories, and analytics live, owner, admin, editor, and viewer roles so each person can only do what their job needs, and 3 seats for $19 a month, with extra seats at $6 a month each. You can create a QR code free on your own account first and start the Team Plan when a second person needs access. Each free code works for its first 50 scans and shows a brief QRelix screen before forwarding. Every code inside a Team workspace gets unlimited scans and no QRelix screen, whoever on the team created it.

What a QR code generator for teams has to do

A shared login is the usual starting point, and it breaks in predictable ways. Nobody knows who re-pointed the lobby poster code to last month's offer. The person who set up the account leaves and takes the password reset email with them. A client wants to see scan numbers and the only way to show them is a screenshot. A team QR code generator fixes those four things:

  • One place for every code. Codes, categories, scan logs, and print layouts belong to the workspace, not to whoever happened to create them.
  • Roles. The intern who prints flyers should not be able to change the destination of the code on 5,000 menus, and the client should see analytics without being able to edit anything.
  • A record of changes. When a code starts sending people to the wrong page, you need to know who changed it and when.
  • A way in for your other tools. Once codes are created for every product or location, somebody wants them generated from a spreadsheet or a CRM rather than by hand.

The sections below cover how QRelix handles each of these, what it costs, and how to set it up in an afternoon.

How the QRelix Team Plan works

One shared workspace

A Team workspace holds QR codes, categories, scan logs, analytics, print layouts, webhooks, and API keys. Every member sees the same list and the same dashboard. Members also keep a personal workspace for their own codes and switch between the two from the sidebar. A code made inside the Team workspace follows the Team Plan's rules: unlimited scans, no QRelix screen, and the security suite (password protection, expiration dates, geofencing, scan limits, and scheduling) on every code, no matter which member created it.

Four roles

  • Owner: full control, including billing and deleting the workspace. The owner is the person who started the Team Plan.
  • Admin: manages members, webhooks, and API keys, plus everything an editor can do. Admins can invite editors and viewers but cannot create other admins or owners.
  • Editor: creates, edits, and archives QR codes and views analytics. This is the right role for anyone who makes codes day to day.
  • Viewer: sees QR codes and analytics without changing anything. Use it for a manager, a client, or an accountant who needs the numbers and nothing else.

Seats and price

The Team Plan is $19 a month, or $190 a year, and includes 3 seats. Each extra seat is $6 a month or $60 a year. A pending invitation holds a seat until it is accepted, revoked, or it expires. Adding a seat charges only the prorated difference for the rest of the billing period. Removing a seat takes effect right away and lowers your next renewal; it does not refund the current period. The pricing page has the current numbers for every plan.

An activity log

The Team page shows what changed in the workspace, newest first: QR code edits, archives, pauses, invitations, people joining or leaving, role changes, seat changes, renames, plan changes, and new API keys or webhook endpoints. You can filter it by member and by type of event. When a code suddenly points somewhere odd, this is where you look first.

Developer API, Zapier, and Make

The Team Plan includes the QRelix developer API with scoped API keys and usage tracking, and the QRelix apps for Zapier and Make, which are built on the same API. The API creates codes, updates destinations, pulls scan analytics, and downloads SVG or PNG files from your own code. The Zapier integration sends New Scan, New QR Code, Updated QR Code, Updated QR Code Status, and Deleted QR Code events to any Zap, so a scan can land in a Google Sheet or a Slack channel without anyone copying numbers. The developers page has the API reference.

How to set up a team QR code workspace

Step 1: Create your account and a first code

Sign up on QRelix and create a QR code with no credit card. Use it to settle the design your team will share: colors, logo, and the corner and dot style. You will want every code the team prints to look like it came from the same place.

Step 2: Start the Team Plan

Choose Team on the pricing page or on your billing page, and pick monthly or annual. If you are already on Pro, the upgrade happens in place and you pay only the prorated difference for the rest of your period. You become the workspace owner, with 3 seats to fill.

Step 3: Invite people by email and pick their roles

On the Team page in your dashboard, enter each teammate's email address and choose a role. They receive a link that is valid for 7 days and sign in with that same email address to accept it. A free QRelix account is all they need; the seat is what the plan pays for. Start people as editors or viewers and promote them later if they need to manage members or keys.

Step 4: Agree on names and categories before anyone prints

Codes are easy to make and hard to tell apart a month later. Pick a naming pattern such as "Location, placement, month" and create the categories you will sort by (campaign, location, product line). Because every code is dynamic, a name can be fixed later, but a category structure is far easier to agree on before there are 200 codes in the list.

Step 5: Give the people who only need numbers a viewer seat

A client, a franchise owner, or the finance person usually wants one thing: scan counts by code, by city, and by day. A viewer seat gives them the same dashboard the editors see, with no risk of a stray edit. It also means the end of monthly screenshot emails.

A worked example: a four-person agency and one client

A small agency runs print campaigns for a regional coffee chain. The account manager starts the Team Plan and becomes the owner. Two designers are editors, and the chain's marketing lead is a viewer. That is four seats: 3 included plus one extra at $6, so $25 a month. The designers make one code per placement, 36 codes across 12 stores, each named "Store 04, counter card, Oct" and sorted into a "Fall menu" category. The client watches the dashboard directly and sees that counter cards average 31 scans a week while window clings average 4, so the next print run drops the clings. When one store's code starts opening a page that is no longer live, the activity log shows which designer changed the destination and when, and the owner repoints it in a minute without reprinting anything. The campaign tracking guide has more on reading scans by placement: see QR campaign tracking.

Who needs the Team Plan, and who does not

  • One person making and tracking codes: the free plan, or Pro at $5.99 a month once codes pass 50 scans or need the security suite.
  • Two or more people sharing one login today: Team. Each action is attributed to a named member, nobody shares a password, and a departure is handled by removing a member rather than resetting the account.
  • Operations teams tagging equipment or inventory: Team, so field staff can be editors and the maintenance manager an admin. The setups in QR code asset tracking software and QR code compliance tracking move straight into a shared workspace, and the QR codes for asset tracking page covers the labels themselves.
  • Anyone who wants codes created or scans delivered automatically: Team, because the developer API, Zapier, and Make are part of it. If you need the API and you are the only user, the Team Plan is still the plan that includes it.

Switching is not permanent. A move from Team to Pro takes effect at the end of the billing period; your team keeps every Team feature until then and members lose access when the Team plan ends. A move from Pro to Team happens right away.

Free, Pro, or Team

  • Free ($0, no credit card): unlimited dynamic QR codes, every code type, editable destinations, custom colors and logo, 300 DPI SVG downloads, and the full analytics dashboard. Each code works for its first 50 scans and shows a brief QRelix screen before forwarding, then pauses until you upgrade.
  • Pro ($5.99 a month or $59.99 a year): everything in Free, unlimited scans so codes never pause, no QRelix screen, the security suite, scheduling and access control, faster redirects, and priority support. Still one person.
  • Team ($19 a month or $190 a year): everything in Pro for every code in the workspace, 3 seats with extra seats at $6 a month, owner, admin, editor, and viewer roles, email invitations, one shared workspace, the developer API with Zapier and Make, and scoped API keys with usage tracking.

The dynamic QR code cost guide works through when a single code outgrows the free plan. For what the dashboard shows each member, see QR code tracking software.

Common questions

Do my teammates need their own QRelix account?

Yes. Each person signs in with the email address the invitation was sent to. A free account is enough; the Team Plan pays for the seat, not for a plan on their personal account.

What happens to a code when the person who made it leaves?

Nothing. Codes in a Team workspace belong to the workspace, not to the member. Remove the person on the Team page and every code they created stays live and editable by the rest of the team.

Does a code made by a viewer or editor get unlimited scans?

Viewers cannot create codes. A code an editor creates inside the Team workspace follows the workspace plan, so it gets unlimited scans and no QRelix screen, the same as a code the owner creates.

How many seats can I add?

As many as you need, at $6 a month or $60 a year each. The seat count can never drop below the number of current members plus pending invitations, so revoke an invitation or remove a member before reducing seats.

Is the developer API available on Pro?

No. The developer API, Zapier, and Make are part of the Team Plan. Pro covers one person's codes with unlimited scans and the security suite.

Can I cancel?

Yes, at any time from the billing dashboard. Team features stay on until the end of the period you paid for, and your codes and analytics are kept if you move back to the free plan.

Next steps

Create your first QR code free, settle the design, and start the Team Plan when a second person needs to edit or watch the numbers. Invite editors for the people who make codes and viewers for the people who read them, and let the activity log answer "who changed this" from now on. Marketing teams can also start from the QR codes for marketing page.
